When formatting a document, sometimes it becomes necessary to clarify the text and, accordingly, the question is how to make a footnote in Word.

As a rule, it is a note to indicate the source of information or explain the main idea directly in the text, without deviating from the content.

Despite the need for footnotes, few are familiar with the rules for their placement. But in the Word text editor, they are very easy to manage.

Footnotes in the middle of the text

In order to create regular page links for a thesis or term paper, select the link menu for Word 2007/2010/2013.

Now you should move the mouse over the text for which an explanation is required, and click on the "Insert footnote" icon.

The same information becomes visible when you hover over the link.

For Word 2003, the "Insert" menu is selected, then the "Links" submenu, and the "Footnotes" item is already in it.

In the menu that opens, simply click "Insert", since the placement at the bottom of the page is already selected by default.

If the page requires several notes, they are placed in the right places, and the numbering is done automatically.

Footnotes at the end of the document

For this, a special kind of note is provided, which is set up as simply as the usual one.

To do this, you just need to select not an ordinary note, but an end note.

The convenience of this version of the notes is that now you can easily see the link to the source without going to the very end of the document for this.

Footnotes

  • There are certain rules for the design of footnotes in the text, which are used by most compilers of literature, documents, theses and term papers:
  • Within an article or document, notes referring to a literary source should be enclosed in square brackets immediately after the quotation;

  • If you also need to specify a page, its number is indicated after the source number (we wrote how to remove page numbers in another article);
  • references to 2 or more sources are separated in brackets by a semicolon.

Footnote Formatting

All these actions the Word program allows you to perform in just a few seconds.

Changing the number format

The algorithm for changing the numbering of links is as follows:

  • The cursor is placed in the section whose notes will be edited;
  • The footnotes menu opens (for Word 2003) or the corresponding tab on the link panel (Word 2007);

  • Select the number format and click "Insert" ("Apply"). The default numbering for regular footnotes is “1, 2, 3, …”, and for endnotes – “I, II, III …”.

Continuation Notice

However, it does not end at the bottom, but continues on a new page, and should be communicated with a continuation notice.

In versions of Word 2013 and 2010, this option exists.

For this you should:

  • Switch to draft mode on the "View" tab;

  • Click the "Show footnotes" button in the "Links" tab;
  • Select the type of note for which the notification is being made (end or regular).
  • In the list, click on the message about the continuation of the footnote of the desired type;
  • Highlight the text used for the notification (for example, "Continue to next page").

Change or remove a separator

By default, the text of footnotes is separated from the general part of the document by separators - horizontal lines.

Usually they are short, but if the note continues to the next page, they are put longer.

You can additionally add a picture to the separators in Word 2007, 2010 and 2013 and change the display format of the separator.

To do this, first go to draft mode (View tab) and select Show Footnotes in the group.

Now you should select the type of notes (endnote or regular, continuation or continuation of the endnote), go to the separator and select it.

To delete, use the Delete key.

The change is made using lines from the menu that opens or even a picture (for example, in the form of a curly line).

Restoring the separator to its original state is carried out by selecting the "Reset" item.

Removal

If there is no need for a specific link, its sign in the document is deleted (selected and Delete is pressed), and the text of the note itself will disappear automatically.

In this case, the text editor automatically renumbers other footnotes, and you do not have to correct them.

Let's take a look at this moment. The following steps will help you make links in Word 2007 and 2010 from the bottom of the page:

1. Point with the cursor to the place that needs a note.

3. Select "Insert endnote".

A footer will appear at the bottom of the page, under which there will be all explanations for words or phrases that have the “Footnotes” sign throughout the text of the page.

4. It remains to add an explanatory fragment.

This method is called "Page". When creating a new footnote, the listing will be sequential (i.e. in order).

The countdown of footnotes will start again if you start putting down on a new page. The pagination of footnotes can be arranged in different ways, you should select the arrow in the footnotes section in the "Links" tab. Next, a window with parameters will open, where you need to set the desired link format (option - Roman numerals).

Hot key combination

You can quickly put endnotes by pressing the key combination Ctrl + Alt + D and a callout will appear for writing an explanation. This combination of buttons creates a note also at the bottom of the page.

An option for those who need callouts in square brackets right after the sentence. Here's what inline footnotes might look like (written manually):

First of all, the number of the source from which the quotes are taken is indicated (according to the literature list), we put down a semicolon and write the pages, there may be one page or several. It is also possible that it is necessary to write "with." - thus indicating the word "page". These subtleties in the design should be clarified in educational institutions.

Footnote numbering

If each page needs a new numbering that will start over again (from 1 to, for example, up to 7), then the following steps should be taken:

Don't forget to change the position of the callout to whatever you want. In this case, the callout will be at the bottom of the text. You need to do a page break. And on the new sheet, the footnotes will start over from 1.

In order to set the numbering and it continued, you need to go to the "Links" tab, find the arrow in the "Footnote" area and set the "Numbering - Continue" in the parameters. Even after going to a new page, the numbering will continue.

Suppose you need to add several footnotes to the first sheet of the document so as not to knock down the numbering. To do this, set the numbering "In each section" in the "Footnotes" field. First select "Links", then the arrow and the main settings window will appear.

Removing numbering

To remove the numbering, you need to place the mouse arrow after the word, namely behind the digital footnote and click the "backspase" button, the second time you click the number will be deleted. The mark at the bottom of the page in the list of all notes will also be deleted.

Attention! If you delete the callout under the number 7 and it was not the last one, then the numbering will shift automatically, and the description related to this footnote will also be deleted.

Now you need to put a footnote next to a particular word. To do this, put the cursor right after it and click on the "Insert footnote" button:

Actually, nothing more is required of you. If you want to put footnotes on one page to several words at once, this is not a problem - you repeat everything that was written above. Each footnote will be identified by a new number.

Footnote at the end of the document

For some papers, such as term papers or dissertations, footnotes must be used not at the end of each page, but at the end of the document. It is quite easy to do this.

Select a word, put the cursor immediately after it. Now in the "References" tab, select "Insert Endnote":

If you use this method, then all the footnotes that are used in the work will be at the end of the text.

To make a regular footnote at the end of the page, place the cursor after the desired word or phrase and click on the button "Insert Footnote". Then write your explanation below.

In this case, they will be numbered in the document in order. Add another one on the same sheet - there will be number 2, then on the next - there will be number 3, and so on.

At the end of the document

To insert it at the end of the document, click on the button "Insert Endnote". Thus, all those that are made in the text will be displayed at the end of the document, they are also numbered in order throughout the document.

Now consider all the functions that can be applied to them. Click on the little arrow in the "Footnotes" section. As a result, a window will open in which you can specify the necessary parameters for them.

Each page with 1

If you need the numbering of footnotes to start over on each sheet, then in the function window, set the parameters as shown in the figure below. You can choose the desired number format.

If you click "Insert", then it will be added on this page with the configured parameters once. If you click "Apply", then in the future when you click the button "Insert Footnote", for each new page, the numbering will start from the beginning.

After text

In the function box, you can choose to add a footnote at the bottom of the text instead of at the bottom of the page.

For each section with 1

If your text is divided into sections or chapters, and you want the numbering to start from the beginning in each chapter, then in the function window, select numbering "In Every Section".

Please note that at the end of each chapter there should be "Section break (from next page)". To do this, on the tab "Page layout" open the drop-down list "Breaks" and select in it "Next page".

If you want to change the number format to A, B, C ... in one section, instead of 1, 2, 3 ... - then in the function window, select the number format and click apply "To the current section", then click the Apply button at the bottom.

In the same way, you can add them immediately after the text for one section, and put them at the bottom of the sheet in another.

At the end of the section

In order for footnotes to be at the end of each section, and not at the end of the page, in the functions window, set the parameters as in the figure below.

If you choose apply "To the current section", then all of them will be at the end only for the selected section. For all others, they will remain in order at the bottom of each sheet. If you choose apply "to the entire document", footnotes will be displayed at the end of each section.

When you hover over any of them, its text will be displayed. If you click on it in the text twice, then the page in the Word will open on which it is explained. To see where it is located in the text, double-click on the desired explanation with the mouse.

How to remove footnotes

To delete a footnote, place the cursor behind it and press Backspace twice.
